Hotlist Tasks
A Hotlist task in Maximizer is a versatile, dynamic "to-do" list item designed for managing and tracking tasks and reminders without being restricted by a calendar format. These tasks allow users to efficiently organize their activities by associating them with various entries such as Contact List entries, Accounts, Leads, Campaigns, and Client Service Plans. Hotlist tasks are intended to help improve productivity by enabling users to schedule, monitor, and complete tasks, ensuring that important activities and follow-ups are not overlooked.
Hotlist Module
The Hotlist Module in Maximizer serves as a centralized hub for efficiently viewing and managing tasks, both personal and those related to other users. It can be accessed by clicking the Hotlist menu item on the left side menu.
It features an intuitive layout that parallels the familiar structure of the Contact List, Accounts, and Client Service Plans. The interface is divided into two main sections: the top half displays tasks in a column view, providing a clear and organized overview, while the bottom half is equipped with tabs that offer detailed insights and management options for each task, enhancing your ability to effectively track and complete your responsibilities.
Viewing Tasks
To view your tasks in the Hotlist module in Maximizer, open the Hotlist module. Click on a specific Hotlist task to open its details in the Hotlist Task dialog box.
This dialog allows you to view and modify the task's information.
Task Details
- Date and Time: Set a specific date and a time for when the task is due.
- Set an Alarm: Use the alarm feature to set reminders for the task, ensuring you are notified before the scheduled time.
- Subject: Enter a Subject or choose from a predetermined list of subjects. Document any relevant details or notes associated with the task.
- Complete: Once you finish a task, mark it as completed to keep your list up-to-date.
- Assign To: Use the pull down menu next to the "Assigned to" field if you need to reassign the task to another user.
- Category: Use Category to categorize tasks.
- Result: Captures any result from the task being completed.
- Task with: Displays the entry that is associated with the task. You can remove an entry to make this a task that is not associated with any entry.
Hotlist Filters
Hotlist filters in Maximizer are designed to help you customize and focus your view on specific tasks within the Hotlist page. By using filters, you can effectively narrow down the list of tasks based on various criteria, making it easier to manage and prioritize activities.
Click the Filters icon to open the filter options:
Select the activities to display
- My activities - View tasks assigned specifically to you.
- Activities of all users - View tasks assigned to any user.
- Activities of the selected users - Select one or more users from the drop-down menu to view tasks assigned to those users.
Additional Options
- Show completed tasks: Include tasks that have been marked as completed.
- Show carried forward unfinished tasks: Display tasks that are overdue and not yet complete.
- Only show tasks that I created: View all tasks you have created, irrespective of their current assignee.
- Show appointments: Include appointments along with tasks in the list.
Additionally, you can choose to view completed appointments and unfinished carried forward appointments. Click OK to apply the filters and update the task list view.
By utilizing these filters, you can manage your workload more efficiently, ensuring that you focus on the most relevant tasks and appointments at any given time.
