Overview
Insurance Gateways lets you bring your clients' insurance policy data into Maximizer using a simple file upload. You export a policy file from your carrier or MGA (in CSV or Excel format), drop it into the Insurance module, and Maximizer's team imports and organizes it for you.
Once your data is imported, each client's policies appear on a new Insurance tab against the related household or contact, and a consolidated view is available on the Insurance dashboard — so policy details live in the same place as the rest of your client information.

Who Should Install This
The one-time setup should be completed by your firm's Maximizer administrator, or someone with admin-level permissions.
Required permissions:
- The permission to create and update users and groups.
- The permission to create and update user-defined field setup.
After the administrator has installed Insurance Gateways once, individual advisors do not need admin rights to upload their own policy files.
Before You Begin
Have your policy file ready.
- Export the policy data you want to import from your carrier or MGA. Accepted formats are CSV, XLS, or XLSX only.

Part 1 — Install Insurance Gateways (Administrator)
Complete these steps once for your organization. If Insurance Gateways is already installed, skip to Part 2.
Step 1 — Open the App Directory
Log in to Maximizer and, in the left-hand menu, select App Directory. In the search box, type “insurance” (or “gateway”).
Step 2 — Open the Insurance Gateways card
Click the Insurance Gateways card to open its details page.
Step 3 — Click Setup
On the Insurance Gateways page, click the Setup button. Maximizer will configure the integration and create the Insurance module and the data fields it needs.
Step 4 — Confirm the success message
When setup finishes, you'll see “Integration has been set up successfully.” Click OK to close the dialog.
Step 5 — Refresh to load the Insurance module
The new Insurance module appears in the left-hand menu after the page reloads.
| Important: If you don't see Insurance in the left menu right away, refresh the page. If it still isn't there, log out and log back in. This is expected — the menu updates once your session picks up the new module. |
Part 2 — Import Your Policy Files
Once Insurance Gateways is installed, any advisor can bring policy data in by uploading a file.
Step 1 — Open the Insurance module
In the left-hand menu, select Insurance. If you haven't imported any data yet, click IMPORT / CONNECT DATA to get started.
Step 2 — Select your carrier or MGA
On the Connect to Data source screen, choose the source your file came from and click Connect.
- Pick your carrier directly if it's listed (for example, BMO, Canada Life, Empire Life, Manulife, RBC).
- If your source isn't listed, choose MGAs or Other Insurance Carriers. This lets our team review and map the file correctly.
Step 3 — Upload your policy file
Drag and drop your file into the upload window (or click Select files…), then click UPLOAD to send it. The file is identified and queued for import automatically.
Accepted file types: CSV, XLS, and XLSX.
| What happens next: Your upload is received and your policy data is imported within 5 business days. You don't need to do anything else — you can keep working while the import is processed. You will receive an email confirmation once the import is completed. |
Part 3 — View Your Imported Policies
After the import is complete, your policy data shows up in two places.
On the client record — the Insurance tab
Insurance Gateways adds a new Insurance tab to entries in the Contact List. Open a household or contact and select the Insurance tab to see the policies imported against that entry.
On the Insurance dashboard
The Insurance module gives you a consolidated, firm-wide view of your imported policies — charts and tables covering things like active policies, premium, and policies by carrier — so you can see your whole book in one place.

Frequently Asked Questions (FAQ)
How long does it take for my policies to appear?
Up to 5 business days after a successful upload. The upload starts the import; it isn't instant.
What file types can I upload?
CSV, XLS, and XLSX files only.
My carrier isn't in the list — what do I do?
Choose MGAs or Other Insurance Carriers on the Connect to Data source screen, then upload your file. Our team reviews and maps unlisted sources.
I don't see the Insurance module after Setup. What now?
Refresh the page. If it still doesn't appear, log out and log back in — the menu updates once your session picks up the new module.
Do I need to be an administrator to import files?
No. An administrator installs Insurance Gateways once. After that, any advisor can upload policy files without admin rights.
Where do my imported policies show up?
On the Insurance tab of the related Contact List entry, and on the Insurance module dashboard.
