Activating the Maximizer Add-in Panel
Now the Maximizer integration is ready and you can access it from any of your email messages in Outlook.
Just click on the “More actions” icon in the top right corner of the email you want to use Maximizer data with.
Activate the Maximizer add-in in the dropdown menu.
Connecting to Your Maximizer CRM Live account
When you access the Maximizer add-in for the first time, you will be prompted to enter the login credentials for your Maximizer cloud account. Press Connect to Maximizer button.
Then enter the email associated with your Maximizer account.
If you use the email with multiple databases, on the next step you will be prompted to pick the database alias.
Note: To obtain your database alias for Maximizer; you should navigate to the login page of your Maximizer account. Check the URL in your browser address bar; i.e. "https://caw.maximizercrmlive.com/clientX". The last fragment of the URL is the unique alias of the database related to your account; in our example alias is "clientX". Copy your database alias and use it to connect your Maximizer database to your Outlook account.
After you press the “Continue” button, you will be prompted to enter User ID and Password for your account.

Incoming email message
Select an incoming email message in your Outlook inbox and activate the Maximizer panel (“More actions” → "Maximizer" add-in).
In the opened Maximizer's add-in panel you will see whether the email participants exist in Maximizer:
You can add an entry to Maximizer as a Lead or as a Contact in case they are not there yet.
You can also manage the data associated with the new entry in Maximizer from within Outlook.
Once you’ve added the entry to Maximizer from the email, it appears in the “In Maximizer” section with the tag "New".
You can now access the newly added entry in the Leads module in Maximizer. To open the corresponding entry from the Maximizer add-in, click on the lead avatar in the lead's details screen.
In Maximizer's Outlook integration you can use the search by name field to save the email against other Maximizer entries, including leads, contacts, individuals and companies.
When you open a contact or lead in Maximizer's integration, you can see the following information associated with the entry:
On the Summary tab:
- Tasks
- Notes
- Upcoming events
- Opportunities (only for “contact” entries)
On the Timeline:
- Appointment
- Chat
- Document
- Note
- Phone Call
- SMS
- Task
You can also navigate to the corresponding Notes, Events, Opportunities or Tasks in Maximizer from the Summary page in the Maximizer add-in.
When you create Appointment, Task, Note, Document, Chat, Phone Call or SMS in the Maximizer app, the info is automatically synced with Outlook and you can access it in the Summary and Timeline tabs of the Maximizer's integration panel.
On the Timeline tab, the Outlook add-in allows you to search for the item by its title or description.
You can also filter out the timeline feed by the item type and by specific user who owns the item.
To edit the entry details; click on the “Edit” icon on the top right conner of the Maximizer's integration panel.
To quickly view the entry details you can go to the Details tab on the Maximizer's integration panel.
When an entry is selected, Maximizer integration allows you the following actions from within the add-in:
- Save email to contact – allows you to save an email to the entry.
- Create a call log – provides an opportunity to keep track of your calls and their outcomes.
- Create an opportunity (only for Address Book entries) – allows to create an opportunities from the email.
- Schedule a task – you can create a task based on the email
- Add a note – you can create a note associated with the entry from within Outlook.
- Schedule a meeting – allows you to schedule meetings based on email communication.
With the top right “Burger” icon you can always navigate to your Maximizer Live account or logout from the Maximizer integration. If there are several contacts in the selected email, you can also schedule a group meeting in this dropdown menu.
Outgoing Message
Adding Maximizer Address Book Entries to Email Recipients
With the Maximizer Outlook Integration you can send email messages to your Maximizer contacts from Outlook.
To add your Maximizer Address Book entry as an email recipient (To; Cc; or Bcc) in an outgoing message open the Maximizer add-in via the "More” menu at the bottom control bar of your message editor.
Then, on the main screen of the add-in, in the "Add Recipient” field type the name or email address of the Maximizer entry and press “Enter” button to execute the search. The search results will be displayed below the search field.
Select the To; CC; or BCC recipient type next to the contact to whom you want to send the email.
Note: "To" refers to the primary recipient(s), CC refers to the secondary recipients who are being copied on the message and BCC refers to the recipients who are being blind copied on the message, meaning their email addresses are hidden from other recipients.
The contact is now added as a recipient to the email in the corresponding field and also available for further management in the Maximizer's integration panel.
Save Email to Maximizer Entries
In the Compose Email interface of the Maximizer add-in you can pick the Address Book entries or Leads you want the email to be saved for. By default, the email is saved to all the people in the “To” field.
Review Recipient Information
You can see the main details about the recipients on the main screen of the add-in. If you need to review the entire profile, click on the “View the details” button while on the card of the desired recipient.
When entry details are opened, Maximizer integration allows you to:
- Create a call log for this entry
- Create an opportunity (only for Address Book entries)
- Schedule a task
- Add a note
- Schedule a meeting
You can also review the Summary of activities, Interaction Timeline, and Entry Details, including information about associated opportunities – all in one place!
Email Auto Save Functionality
Once you have installed the Microsoft Outlook Sync integration, enabled automated email saving for incoming and outgoing emails on the Email Sync tab of the Configuration page, and installed the Outlook add-in from the Microsoft Store, you can start enabling the Email Auto-save feature for specific Address Book entries and Leads.

- To enable Email Auto-save for a specific contact, open the Maximizer Outlook app inside your Outlook client and view the contact’s details. You’ll see an Email Auto-save toggle, which is disabled by default. Simply switch it ON to track all emails associated with that contact.
- You can view the list of Address Book entries and Leads with automated email saving enabled by navigating to the Microsoft Outlook Sync > Configuration page > Email tab.
- To stop automatically saving emails for specific contacts, you can either:
- Remove the contact from the list on the Microsoft Outlook Sync > Configuration page > Email tab by clicking the “Remove” icon in the Action column for the desired contact.
- Toggle OFF the Email Auto-save setting on the contact's details page in the Maximizer Outlook app within your Outlook client.
- Note: The list of contacts with enabled Auto-save on the Configuration page is updated at specific intervals. Currently, it is set to refresh every 10 minutes, but Maximizer reserves the right to adjust this frequency.
- To use the Save and Send feature, which allows you to save an individual email to a Maximizer Entry (or multiple Maximizer Entries) as it's sent from Outlook, you must first enable the Outlook Sync > Email Sync as outlined in the instructions above. Otherwise, the Save and Send feature will be unavailable.
- Email synchronization from Outlook to Maximizer occurs at regular intervals. Currently, it runs every 10 minutes, though Maximizer reserves the right to modify this frequency.
