Overview
The Plug & Play integration allows Maximizer users to securely synchronize client and account data from the iAPW AX360 platform into Maximizer CRM. This ensures your Maximizer database always reflects the most up-to-date information from your firm's primary data source.
Who Should Install the Integration
The integration should ideally be installed by your firm’s CRM administrator or an individual with admin-level permissions in Maximizer.
Required Permissions:
- Admin access to the Maximizer account and the user or administrator must possess the following rights:
- The permissions to create and update users and groups
- The permissions to create and update user-defined field setup.
Click the Setup button to begin the process.
Pre-Installation Checks: Ensure you have completed the onboarding requirements set by iAPW (see “Pre-Installation Requirements” below).

Review and Sign Required Documents:
- Please review and sign the Data Processing Agreement (DPA) and complete the Onboarding Form. Both documents are required to participate in the program.
- Once completed, email the signed forms to advisorsupport@iawealth.com.

Credential Generation & Next Steps:
- After the DPA and Onboarding Form are submitted and validated by the iAPW team, they will generate the required credentials for your integration. This process may take up to three weeks.
- Once your credentials are ready, we will reach out to guide you through the next setup steps and begin the onboarding process.

Potential Data Differences
- Name Differences: Some users of Maximizer may store nicknames or client-preferred names, while iAPW (AX360) uses legal names. Use caution with overwriting settings and always check for duplicates.
- Duplicate Warning: After setup, review your contact list for possible duplicates where the same person was entered under a nickname (e.g., "Trish") and their legal name ("Tricia"). Use Maximizer’s merge tools or contact support for help.
How to Install the Plug & Play Integration
- Access the App Directory:
Log into Maximizer and go to the “App Directory”.
- Find Plug & Play:
Search for “Plug & Play” in the App Directory and open the card.
- To Install:
Click the “Set Up” button and the integration will be automatically installed.
After clicking on “Set Up” you will see a success message:
The integration will validate if your certificates have been received and installed. You will see a message on the top screen that will provide you with detailed information.
- Complete Setup:
Once the Setup has been completed. Please click on the “Configuration” button.
1. Import Rules
This step helps you decide how new data from iAPW will be added to your CRM.
You will see two main sections:
For Clients who are not stored yet in the CRM and For Clients’ data that are stored in the CRM.
For Clients – If client does not exist in the CRM
What this means: When iAPW sends information about a client that isn’t already in Maximizer.

Ignore client info and accounts:
Do not create any new records — skip these entries. -
Create new household/company/contacts and accounts:
Add all client, household, company, and account records into Maximizer.
Tip: If your CRM already has the most complete info, you may want to skip creating new records. If you want to ensure all new clients from iAPW are available, choose the create option.
For Clients’ data – If Client already exists
What this means: When a client already exists in your CRM and iAPW sends an update.

Do not update client information, only add missing accounts:
Do not change any details for the existing client; only add new accounts that aren’t already there. -
Overwrite all fields with iAPW info:
Replace all fields in the existing client record with the latest information from iAPW.
Tip: Be cautious with “Overwrite”. If your team tends to store client-friendly names (e.g., “Trish” vs. “Tricia” or “Rob” vs “Robert”) or has fields maintained only in Maximizer, these could be overwritten and lead to duplicates. Choose this option if you want your CRM to always match the data coming from your back office.
2. Field Mapping
This screen lets you match fields from iAPW to fields in Maximizer.
To ensure that we are mapping the contacts/households to their respective data entry in Maximizer, we ask you to choose 2 fields that we’ll use for validation of unique entries. This will allow us to run a multi-step validation of the data. We run the mapping on the following order:
- Last Name and First Name
If the above fields have multiple entries in Maximizer i.e. John Smith
Then we’ll proceed to use two fields to determine which contact is correct:
- Date of Birth
- SIN number
Click on the “configuration” button and choose the fields that you use in your CRM and want to map towards.
You can choose from 2 options: SIN number or Date of birth.
Click on the field to expand the select menu and choose your preferred field. In this example, you will see that we have 2 fields available in Maximizer to track the date of birth.
Make sure that you choose the field that you use to track the date of birth of your contacts in Maximizer. The same applies for SIN number fields.
Once completed, just click on “OK” and continue with the third and last step, mapping Rep Codes.
3. Rep Codes & Security Setup
Here you assign how data gets shared within your team, and who will own which data.
- Assign Maximizer users to Rep Codes: Map each advisor or user to the corresponding rep code from iAPW.

Set access levels for contacts and accounts:
- Contacts Access: Choose whether the advisor, a group, or everyone can view or edit (Public, Private, or a specific Security Group).
- Accounts Access: Choose who can view account details (Public, Private, or a specific group).
- Rep Code: Make sure every relevant rep code is matched to a user; data for unmapped codes will not be imported to keep your data secure.
Tip: If a client has accounts with more than one advisor (different rep codes), that client’s information may be visible to both unless you configure your security groups tightly.
In this screen, click on the “Add User” button and you will see a list of all the existing users in the database.
Then select which users you would like to map to a rep code (advisor code).
Permission Settings Explained
When setting up the integration, you’ll assign a “permission level” for each rep code and related Maximizer user(s). There are three main security choices:

How Permissions Work with the Integration

When a record is imported from iAPW:
The permission setting you pick applies automatically, ensuring only the right people/groups can see or modify the data. -
If no rep code is mapped:
Those contacts/accounts are not imported by default (to protect privacy). You'll be notified so you can update your mapping if needed.

Data Synchronization – What Data is Pulled
- Note: The integration is one-way only; updates in Maximizer do NOT flow back to iAPW/AX360.
Just as any other integration, the fields coming from one platform might have a different name in Maximizer. We’ll sync 2 main data objects: Clients and Accounts

Note: A whole new set of UDFs will be created for the integration, if you have accounts data in your system you’ll might end with duplicates. If you prefer, you can safely delete the old accounts given the new synced data is up to date.

How Does it Work

One-Way Data Sync:
- Data is continuously or periodically (based on your configuration) pulled from Plug & Play (iAPW AX360) and written into Maximizer.
- The sync happens every day at 4:00am ET.
- Maximizer is updated automatically, eliminating the need for manual data uploads.

Primary Source of Truth:
- Plug & Play remains your firm’s master database.
- Maximizer reflects the exact, most recent information as it appears in AX360.

Error Handling:
- All data modifications will be printed in the “Audit Log”. Only admins have access to this.
- If you encounter any other issues, please contact support@maximizer.com.
Support
- For technical issues in your CRM, reach out to your Maximizer account manager or contact support@maximizer.com.
- For onboarding/certificate issues, coordinate with iAPW IT via email advisorsupport@iawealth.com.
- If you would like to include more fields in the integration, please let iAPW IT know by sending an email. They will follow up internally to add those fields, then we will add them in Maximizer.
