Maximizer Docusign Integration
In today's fast-paced business environment, managing customer relationships efficiently while streamlining document processes is paramount. Maximizer, in collaboration with Docusign, offers a comprehensive solution designed to enhance productivity, simplify workflows, and elevate the customer experience.
With this integration, users can now effortlessly send, sign, and manage documents directly within Maximizer. Whether it's contracts, agreements, or other critical documents, our solution empowers users to initiate, track, and complete document workflows with ease, all while keeping the context within the CRM environment.
Setup process
The setup process will prepare the system for Docusign integration. This process must be carried out by an administrator to ensure all necessary settings are properly configured before individual users can install the integration.
The administrator needs to have the following rights:
- The right to create a service user.
- The privilege of modifying system tables.
The process will create following system settings:
- An interaction type for Docusign. This type will be used to track the Docusign-related interactions.
- A service user for Docusign integration. The ID of the user is DOCUSIGSRV.
- A Personal Access Token for the service user.
Note that the administrator does not need a Docusign account to set up the system.
Click the Setup button to initiate the process. Once the process is complete, a message will appear, indicating that the system is ready for the installation of the Docusign integration.
The Setup button will always be enabled. If something goes wrong later (e.g., the service user is deleted accidentally), clicking the button will fix the problem.
Installation process
Once the system settings are configured, any user wishing to use Docusign can install the integration. To start the installation process, click the Get it now button.
Every user must install the integration and must have a Docusign account to do so. During the installation, users will be prompted to enter their Docusign login credentials.
Upon completion of the installation process, a confirmation message will appear at the top of the screen.
The Docusign button will appear in the Address Book if the login user has installed the integration. Those who haven't installed the integration will not see the button.
Note that the Docusign button is only displayed in the Address Book module. It is not available in other modules.
If you don't see the Docusign button after installation, please refresh your browser screen.
Through Docusign integration, you can view sent Docusign envelopes, send envelopes directly from Maximizer, check envelope statuses in interactions, and store documents in Maximizer once an envelope is completed.
Send a Docusign envelope to a Maximizer entry
In this release, envelopes can only be sent to Address Book entries. To send an envelope, you need to create templates in Docusign first. The selected entry needs to have an email address.
Select an Address Book entry, click the Docusign button, and click Send an envelope.
In the Send Docusign Envelope dialog, use the dropdown in the Template field to select a template you've created in Docusign. The email subject and message from the selected template will populate the corresponding fields. You can edit them before sending the email.
Important note
In this release, each envelope can only have one recipient. Make sure the chosen template contains just one recipient. If a template includes more than one recipient, it can't be completed.
Clicking the Send button will create an envelope in Docusign, which will then be sent to the recipient. An interaction log tracking this event will be created in Maximizer.
Docusign interactions
Changes in the status of Docusign envelopes, such as Sent, Completed, Voided, and Declined, will be reflected as interactions in Maximizer.
These Docusign interactions can be viewed in the Timeline and Interactions tab, Activity Tracker module, Timeline report, and Global Search. Like other types of interactions, Docusign interactions can be filtered and searched, but they cannot be edited using the Maximizer Interaction Log dialog. To make changes, you need to open the envelope in Docusign.
Docusign interactions can be deleted if you have the necessary permissions. Full Access rights for a Docusign interaction are given to the user who sends the envelope, while Read Access rights are public.
When an envelope is completed, the documents it contains are added to Maximizer, ensuring all documents are stored in your CRM system for regulatory compliance.
Timeline tab
Docusign interactions are visible in the Timeline tab. By enabling the 'Show All' option, you can view envelopes sent to all contacts within the same company. Use the Search field to look for specific Docusign interactions.
Expand a Docusign interaction to access additional information about the envelope. This information includes details such as the sender, recipient, creation date, and the email message.
Clicking the Open in browser button will open a new browser tab displaying the envelope's details in Docusign. Keep in mind, you may need to log into your Docusign account to view these details.
Interactions tab
Interactions with Docusign are shown in the Interaction tab. When you click on an interaction, a new browser tab will open, displaying details about the envelope in Docusign.
Activity Tracker
Interactions with Docusign are shown in the Interaction tab. When you click in a card, a new browser tab will open, displaying details about the envelope in Docusign.
If you need to send a document to a contact as part of a task, you can complete this within the Activity Tracker or Tasks module. Click the name of the Address Book entry in the task. In the pop-up that displays the entry's details, click the Docusign button, and then click 'Send an envelope'.
View envelopes
From within Maximizer, you can open Docusign and view all envelopes you have sent. You can then filter the envelopes by the name or email address of the Maximizer entry.
To view envelopes, click the Docusign button and click View envelopes.
