Before using Microsoft Outlook Integration, you must configure Outlook to communicate with Maximizer. You must specify the Maximizer CRM Account URL and the Maximizer User ID and Password. You can also set default preferences for creating new Address Book entries; and configure Outlook Synchronization.
The Outlook Integration for Maximizer CRM wizard opens automatically when you start Outlook; letting you choose the settings for the integration. After setting up Outlook integration; you can change these settings at any time by selecting the Maximizer CRM Outlook Integration Options icon in Outlook.
To install the Outlook integration
- Go to Administration > Desktop and Mobile Setup
- Under Microsoft Outlook Integration , click Download Outlook Integration
- The file will download automatically, click Open or Run this program from its current location. To save the download to your computer for installation at a later time; click Save or Save this program to disk.
- If a Security Warning appears; ensure the Publisher is Maximizer Software Inc. then go ahead and click Run.
- The Outlook Integration wizard will start. Click Next.
- The Ready to Install the Program screen comes up, click Install.
- Once the wizard has completed the installation, click Finish.
- Open Outlook to finish setting up the integration.
To set up Outlook Integration
- Open Outlook. The Outlook Integration for Maximizer CRM wizard opens.
To prevent the wizard from opening every time you open Outlook; uncheck the “Show this wizard each time Outlook starts” checkbox. - Click Next.
- Enter the Maximizer CRM Account URL.
- The URL is in the form https://caw.maximizercrmlive.com/[account name] where [account name] is the name of your corporate account.

- After obtaining your Maximizer Account URL, enter it in the box when prompted:
- Click Next.
- Enter your Maximizer User ID and Password; and click Log In.
- Select the options for creating Address Book entries and saving email messages:

- Select Include attachments when saving email to save email attachments by default to Maximizer entries.
- Select Confirm when saving email and Confirm when creating Contact to specify details before saving email or contact information to Maximizer.
- If the Confirm when creating Contact option is selected; you can select a different type of Address Book entry while creating the entry.
- Select Confirm when sending email to be prompted each time you send an email from Outlook to save the email to Maximizer. Only select this option if you are sure you want to be prompted every time you send an email from Outlook to save back to Maximizer.
- In the Default Contact type drop-down list; select the type of Address Book entry that is created when you add contacts from Outlook.
- Click Next.
- Specify the frequency for synchronization between Maximizer and Outlook; and click Next.
- Specify the options for synchronizing appointments between Maximizer and Outlook. Select Include private tasks to have any private task be synchronized over to your Maximizer Calendar and click Next.
- Specify the options for synchronizing tasks between Maximizer and Outlook. Select Include private tasks and Carry forward unfinished tasks to have private tasks and unfinished tasks be brought over to your Maximizer Calendar. Click Next.
- Specify the options for synchronizing contacts between Maximizer and Outlook; and click Next.
- Select Synchronize Address Book entries if you want to synchronize contacts between Maximizer and Outlook.
- In the Synchronize Address Book entries from Favorite List drop-down list; select the Maximizer Favorite List that you want to synchronize entries from.
- In the Synchronize Contacts from Outlook Category field; enter the Outlook contact category that you want to synchronize entries from.
- Click Phone Mapping to set up a mapping between Outlook contact phone number fields and the corresponding phone number fields in Maximizer Address Book entries.
- Click Finish.
You should now see the Maximizer tab in the Outlook Ribbon. The Outlook integration has been successfully installed.
To Set the Outlook Address Book
- Go to the Outlook Home tab > Address Book:
- Click Tools > Options. A window will open with a drop down menu
- Select Start with Global Address List and choose Contacts from the drop down:
- After making the selection click OK:
- Close down the Outlook Address Book window:
You have now successfully installed your Maximizer Outlook Integration for Desktop.
