Embedded Documents not Converted to Linked Documents on Upgrade

Problem

When upgrading from a previous version of Maximizer to Maximizer CRM Entrepreneur or Maximizer CRM Group Edition, you are given the option to convert your embedded documents to linked documents to save space in the upgraded Address Book. This is because of the Microsoft SQL Express database size limitation of 4GB.

After choosing to convert, and setting the directory for the linked documents to be stored and allowing the upgrade to continue, the embedded documents are not converted to linked documents. This can lead to “Datamanager received an error code of 18...” messages.

Reason

There are two different reasons this may occur:

  1. None of the “Convert documents if larger than:” or “Convert documents if older than:” options were selected when the Document Conversion settings were available during the upgrade process. At least one of these checkboxes must be set on for any documents to convert.
  2. Your embedded documents are email type documents. Email documents cannot be converted from embedded to linked documents.

Solution

  1. Run the upgrade again, this time making sure to select at least either “Convert documents if larger than:” or “Convert documents if older than:” check boxes.
  2. You may need to upgrade your software to Maximizer CRM Professional or Enterprise which both allow for Address Books larger than 4GB.
